Pivot Worklog Reports

FAQs

What is Pivot Worklog Reports?

Pivot Worklog Reports is a Jira dashboard app that helps teams analyze and report on time logged in Jira.

It transforms existing Jira worklogs into detailed timesheets, multidimensional pivot reports, heatmaps, and charts. Teams can analyze logged time by author, date, project, work item, priority, status, or another supported Jira field.

Which gadget is included in the app?

The app includes the Worklog Reports & Timesheets gadget.

The gadget can be configured to display detailed worklog entries, summarized timesheets, heatmaps, and visual charts.

GG-Logo---40x40px.png The Worklog Reports & Timesheets gadget is available either through this standalone app or as part of Great Gadgets for Jira, the complete bundle that provides a broader collection of dashboard gadgets in a single app.

Who is the app designed for?

The app is useful for Project Managers, Delivery Managers, Team Leads, Scrum Masters, Agile Coaches, ITSM Managers, Support Managers, Resource Managers, Consultants, Finance and Billing Teams, Jira Administrators, and PMOs.

It can be used by Scrum, Kanban, SAFe®, ITSM, development, operations, consulting, service, and business teams that record time in Jira.

Is a free trial available?

Yes. You can start a free 30-day trial from the app’s listing on the Atlassian Marketplace.

Do I need Jira administrator permissions to use the gadget?

A Jira administrator is generally required to install the app.

After installation, users with permission to create or edit Jira dashboards can add and configure the gadget. Users must also have permission to view the Jira projects, work items, filters, and worklog information included in the report.

Does the app create or modify Jira worklogs?

No. Pivot Worklog Reports is a reporting app.

Team members continue to create, edit, or delete their worklogs through Jira. The gadget reads the existing Jira worklog data and presents it as a table, heatmap, or chart.

Do I need to know JQL?

No. You can create a report using a saved filter or by selecting epics or portfolio-level work items.

JQL is available when you need more precise control over the work items included in the report or want to combine work from multiple projects, teams, customers, or other scopes.

Which data sources can I use?

You can create worklog reports using work items returned by:

  • A saved Jira filter

  • A JQL query

  • One or more epics

  • One or more portfolio-level work items, such as initiatives or themes

If you use a saved filter, make sure it is shared with everyone who needs to view the gadget.

Can I report on worklogs from multiple projects or teams?

Yes. Use a saved filter or JQL query that returns work items from all the projects or teams that you want to include.

You can then group the worklogs by Project, Worklog Author, Assignee, Work Item Type, or another supported field.

When several teams or projects are combined, the totals represent their aggregated logged time.

Which worklog fields can I use?

Available worklog-specific fields include:

  • Worklog Author

  • Worklog Date

  • Worklog Time Spent

  • Worklog Comment

These fields can be combined with supported Jira work-item fields to create detailed or summarized reports.

Which Jira fields can I use?

You can combine worklog data with Jira fields such as:

  • Project

  • Status

  • Priority

  • Work Item Type

  • Assignee

  • Epic or parent hierarchy

  • Other supported custom fields

The exact fields available depend on your Jira configuration, field contexts, permissions, and selected data source.

Can I use custom Jira fields?

Yes. Supported custom fields can be selected for the report or used to filter its data.

For example, if your work items contain fields for Customer, Department, Cost Center, Team, or Work Category, you may be able to use those fields to organize or filter the worklog report.

Can I filter the worklogs displayed in the report?

Yes. The Enable filtering by option allows you to narrow down the displayed data using supported Jira fields.

For example, you can focus the report on a particular:

  • Project

  • Work Item Type

  • Assignee

  • Priority

  • Status

  • Custom fields

Filtering is useful when the main data source contains a broad set of work items but the report should show only a specific subset.

Can I include subtasks?

Yes. Enable Include sub-tasks if worklogs recorded on related subtasks should be included.

This is important when team members log time on subtasks instead of their parent work items.

Can I display worklog comments?

Yes. Add the Worklog Comment field to the report or use the Table Report: Worklog Comments by Author preset.

This allows you to review the descriptions entered with individual worklogs together with their authors, dates, and logged time.

Can I create individual timesheets?

Yes. Use Worklog Author, Worklog Date, Worklog Time Spent, and optionally Worklog Comment to create a detailed timesheet.

You can filter the data source or report to focus on a specific person, team, project, or reporting period.

How do I configure the rows and columns?

First, select the fields that you want to use. Then drag and drop them into the Rows and Columns areas of the output configuration.

Can I use the same field in both rows and columns?

Yes. A field can appear in both areas.

Dragging a field from Rows to Columns, or from Columns to Rows, adds it to the new area without removing it from the original one.

To remove the field from one area, drag it into the Unused Fields area.

Which report formats are available?

The gadget can display worklog information as:

  • Regular pivot tables

  • Table heatmaps

  • Column heatmaps

  • Row heatmaps

  • Pivot charts

Can I display totals?

Yes. Supported table and heatmap outputs can display:

  • A Totals row

  • A Totals column

Can the app be used for billing reports?

Yes. The app can provide detailed worklog information to support billing reviews, customer reports, internal cost allocation, or invoice preparation.

However, it is a reporting tool rather than an invoicing or timesheet-approval system. It does not create invoices or approve worklogs.

If you need to distinguish between billable and non-billable work, that classification must be represented by the report’s Jira fields, filters, projects, or another supported data attribute.

Is the Worklog Reports & Timesheets gadget also available in Great Gadgets?

Yes. The gadget is included in the Advanced Edition of Great Gadgets for Jira, StonikByte’s complete Jira dashboard reporting suite.

Is the gadget included in the Standard Edition of Great Gadgets?

No. The Worklog Reports & Timesheets gadget is available only in the Advanced Edition of Great Gadgets.

Which app should I choose?

Choose Pivot Worklog Reports when you need a focused solution for creating Jira timesheets, worklog pivot reports, heatmaps, and charts.

Choose the Advanced Edition of Great Gadgets for Jira when you also need burndown and burnup charts, release forecasts, velocity and throughput reports, WIP charts, cycle time and lead time analytics, cumulative flow diagrams, time-in-status reports, pivot tables, custom KPIs, work breakdown structures, and other dashboard capabilities in one app.

Do I need the standalone app if I already have the Advanced Edition of Great Gadgets?

No. If the Advanced Edition of Great Gadgets is already installed and licensed, you can use the Worklog Reports & Timesheets gadget included in that app.

Is Great Gadgets licensed separately?

Yes. Pivot Worklog Reports and Great Gadgets for Jira are separate Atlassian Marketplace apps, each with its own installation and license.
